Start with what you use
Moving is easier when you first decide which customer details, lists and forms you actually need in your new workflow. A large number of system fields in HubSpot does not need to become the same number of fields in the CRM.
Check that you are in the right organisation before connecting the source account. Data from two businesses should be moved to their respective workspaces.
Connect and prepare
- Open contact imports and choose HubSpot.
- Connect the correct HubSpot account and approve the permissions needed for the data you want to transfer.
- Let the CRM prepare the move. You can leave the page and return while it works.
- Review what can be transferred and the reported limitations before approving the import.
Contacts, segments and forms
Contact details are transferred to fields supported by the CRM. Segments can become newsletter lists with linked memberships. Check subscription status before using the lists for campaigns.
Forms are converted into the CRM’s structure and need reviewing and publishing before use on your website. Check fields, list actions, website addresses and notifications.
Review history and missing content
The history available depends on HubSpot permissions and how the data was stored. Private emails may require additional approval. Custom objects, attachments and some activities may need handling separately.
Use the import report as your reference. Choose a few familiar contacts and compare details, conversations and submissions before retiring your old workflow. A completed contact import does not mean the whole HubSpot account has been copied.
CSV is an alternative
To start with your contacts without connecting an account, export a CSV and import it into the CRM. Files contain only the data in the export; they do not automatically transfer conversations or forms.
