Decide what visitors should be able to do
Open Forms and create a new form. Choose Contact enquiry, List signup or Contact with list signup depending on what visitors should be able to do.
Write a clear heading, button label and confirmation message. The preview shows your business branding and what the visitor will see.
Build the basics
- Add the fields you need. Map email, name and phone to the corresponding contact details.
- Mark required fields and choose full or half width when two fields should appear side by side.
- Enter the websites allowed to use the form. The address must match the website where visitors actually fill it in.
- Add a link to your privacy policy and clear information about how submissions are used.
- For forms that create an enquiry, choose one or more email addresses to receive submission notifications.
Connect newsletter signup to a list
Add a newsletter signup action and select the correct list. In a dedicated signup form, subscribing is the purpose. In a contact form, use an optional checkbox so the list is updated only when the visitor chooses to subscribe.
Write consent text that makes it clear which newsletter the visitor is joining. An ordinary contact enquiry must not secretly subscribe someone to a newsletter.
Under Submission handling, choose CRM contact and enquiry or List only. List only adds the visitor to the selected list without creating a new CRM contact, a follow-up case or submission notifications. Existing CRM contacts are preserved. This mode requires a list signup action and cannot be combined with an automated service reply.
Publish and add the form to your site
Save and publish your form. Under Use on your website, choose Embed for a ready-made form, or Custom form with AI for instructions for your coding assistant.
The embed version is easy to paste into a WordPress page, for example. The AI prompt explains how your own form should send data to the CRM and helps you keep your website’s existing styling.
Run a real functional check
Submit from the published website using an address you control. Check list membership if the form signs visitors up to a list. With CRM contact and enquiry, also check the submission, contact details and notification. Test both with and without subscription selected if the form offers it.
Preview and local test mode do not create real submissions. Changes to a published form must be published again before visitors receive the new version.
