Understand delivery and unsubscribing

The difference between queued, accepted and delivered, and how subscribers leave one or several lists.

Follow the delivery report stages

A queued email is waiting to be processed. Accepted means the provider has received it for sending. Delivered confirms that the recipient’s mail server accepted it.

A bounce means the email could not be delivered. A complaint means the recipient reported it as unwanted. These signals may block future deliveries to the address.

Let recipients choose

Newsletters contain an unsubscribe link. Recipients can leave individual lists or all newsletters from your business. Leaving one list does not have to affect membership in another.

The choice applies to the organisation that sent the newsletter. Other businesses’ lists are not changed.

When someone wants to subscribe again

A new signup through your business’s form can reactivate a subscription. If a person contacts you asking to be added again, you can manage their membership manually.

A delivery block after a hard bounce or complaint is different from a normal unsubscribe. Check the cause before attempting to send again.

Interpret open signals with care

For ordinary emails, the CRM may show an open signal and time. This is a signal from the recipient’s email software, not a read receipt proving that the person read or understood the content.

Use it to support follow-up planning alongside replies and other communication. Avoid drawing conclusions about a person solely because an open signal is missing.
